14 common mistakes to avoid in your press release

A practical checklist to reduce revisions and publisher rejections when submitting your own news story.

Use this checklist before submitting your own story. For the complete rules, see the Complete Press Release Writing Guide.

1. Covering several unrelated topics

Focus on one clear, recent business announcement.

2. Using promotional language

Avoid sales terms such as "buy," "free," "sale" and "trial." Write like a news article, not an advertisement.

3. Making exaggerated or unsupported claims

Use factual statements and provide evidence for claims about partnerships, awards, funding, acquisitions or other third parties.

4. Writing in first or second person

Use third person outside direct quotes. Avoid "I," "we," "our," "you" and "your" in normal article copy.

5. Using questions or exclamation marks

Keep headlines and article copy factual and neutral.

6. Using jargon or buzzwords

Choose simple wording that a general reader can understand.

7. Opening with storytelling filler

Avoid phrases such as "In a world where..." and get directly to the business announcement.

8. Using unnecessary symbols or emojis

Keep formatting clean and compatible with news publishers.

9. Putting links in the wrong places

Do not put links in the headline, summary or images. Link relevant text inside the article body.

10. Writing a weak headline

Use 8 to 20 words and clearly state the announcement. Avoid questions, sales language and ending punctuation.

11. Using poor-quality or restricted images

Use clear images suitable for a general news audience. A maximum of 2 images can be included.

12. Using customer testimonials as quotes

Use relevant comments from a named company spokesperson instead.

13. Ignoring the word-count range

Stories should normally be between 350 and 1,200 words. Around 500 to 750 words works well for most announcements.

14. Skipping the final proofread

Check names, spelling, grammar, facts, links and formatting before uploading the file.
